Before a marketplace software entry in England, gate identity, orders and tax

Gate an England marketplace software entry through seller identity, product evidence, orders, privacy, security, accessibility, tax and exit.

Use this marketplace seller software market entry checklist before a pilot, not after signing a supplier. Each item is a separate gate. A strong result on convenience or cost cannot offset a failure in product safety, consumer information, privacy, security, accessibility, tax records or exit.

Define one job first: keep an authorised catalogue, stock record and later order states aligned between an England merchant's owned system and one named marketplace account. Use synthetic or specifically authorised records until specialist reviewers clear live use.

Seller and account authority

  • Record the seller's legal name, trading name, establishment evidence and contractual role.
  • Identify the marketplace account owner, authorised administrators and approval route for an integration.
  • Separate the marketplace operator, seller, software provider, payment service, fulfilment party and managed operator.

HMRC's guide for sellers on digital platforms explains the information platforms may collect and notes that their reports do not replace business records or tax calculations. Use it to frame identity questions, not to decide the merchant's tax position.

Catalogue, price and consumer record

  • Link each listing identifier to an approved product record, image rights and claim evidence.
  • State who may alter price, stock, optional charges, delivery information and product copy.
  • Preserve the exact version and timestamp sent to the marketplace, plus any rejection or override.
  • Give corrections and withdrawals an owner, evidence trail and completion check.

GOV.UK online-selling guidance covers business and order information. The CMA's price-transparency guidance addresses mandatory fees, taxes and problematic price presentation. A consumer lawyer must review the actual goods, offer and journey.

Safety and traceability

  • Identify the manufacturer, importer, distributor or other role for every product class in scope.
  • Store required technical, warning and traceability evidence outside the marketplace listing.
  • Test suspension, recall communication and withdrawal with a synthetic item.

OPSS product-safety advice makes clear that obligations depend on the product and business role. Software validation is not a safety assessment. Stop if the merchant cannot trace or withdraw an affected item.

Order and money states

  • Distinguish order received, accepted, payment authorised, captured, dispatched and settled.
  • Join cancellation, return, refund and dispute records to the original order without overwriting history.
  • Reconcile marketplace deductions and cash separately from sales, VAT and profit.
  • Record currency, tax assumptions, accounting period and evidence owner.

HMRC's online-marketplace VAT collection shows that treatment can vary with goods, seller, customer and location. Require an accountant and VAT adviser; do not let the connector classify an unresolved transaction.

Data, access and customer contact

  • Map every customer, staff and device field, purpose, recipient, retention period and deletion route.
  • Keep service messages separate from direct marketing and audience advertising.
  • Grant the minimum account and API permissions; inventory every credential and owner.
  • Log configuration, permission and bulk-change events without storing secrets in logs.

The ICO's storage and access technologies guidance covers cookies, tags, pixels and related technologies. NCSC online-service guidance covers access, logging, monitoring and incident handling. Privacy and security approval remain independent.

Accessibility, support and exit

  • Test staff tasks and customer communications with appropriate accessible methods.
  • Define exception ownership when a marketplace or API changes.
  • Export catalogue, mappings, orders, adjustments and audit history in usable form.
  • Revoke access, restore the export and continue the bounded workflow without the supplier.

The government service-provider guide gives Great Britain context for anticipating barriers and reasonable adjustments. Hold entry until the buyer has evidence for every applicable gate, named sign-off and a tested reversal route.
